Where is the Street Fair held?
The street fair is held in the downtown shopping district.  The streets will be closed to traffic as of 7am until 6pm.  This includes
Lafayette Avenue (Route 59), Chestnut Street, Suffern Place and part of Park Avenue.  Vendors will be assigned from the monument by
The Lafayette Theater to the end of Lafayette at Orange Avenue/Rte. 202.
What kinds of things will be at the street fairs?
The street fairs are held each year offering over 100 vendors and craftspersons.  We have food vendors - along with music and
entertainment.  Bring the family and sit for a while and enjoy the bands/music in multiple locations.  Local businesses have an opportunity
to promote their businesses and services.  Local community groups offer fund raising activities or community out-reach. We have
children's activities which may include pony rides and inflatable activities/bouncers.
This year, for 2010, we have added a special theme for vendors on Chestnut Street:  May 16th-Antique Dealers,  June 13th-Artists and
Craftpersons,  September 5th - Family Entertainment.
Can I bring my dog/pet?
There is a local ordinance of the Village of Suffern that prohibits pets/dogs at the street fairs.  Although some people may find this
upsetting, understand that the ordinance is in place because some pets have shown aggression to people or other pets, animals have
defecated in the street, and some people are allergic or afraid of animals.  Pets have been subjected to extreme heat. thirst and people
stepping on them.  It is not just a street fair rule, we are complying with the local ordinance when we tell you that "Pets are not Allowed."  
It is up to the local police to enforce that policy and if you have any complaints about the policy or enforcement, please address the
Village of Suffern.
How do I become a vendor?
You can become a vendor by reading/agreeing and completing the 2010 Suffern Street Fair Contract. To be eligible to receive early
discounts, please return your contract (postmarked) by April 30, 2010.  Contracts should be mailed to:

What size is the space?
A space is 20' wide and 10' from the curb.  It is approximately the size of a parking space.  Under no circumstances are vendors to
extend more than 10' from the curb.  The fire department will strictly enforce this rule.
Can I take multiple spaces?
You can take multiple spaces and we will assign them next to each other if space if available to do so.  If you want multiple spaces,
please register as early as possible.
How can I get a space in a particular spot/area?
We make every attempt to have vendors happy with their space assignment.  However, there are many factors involved in assigning
spaces - and all of those factors have to be considered before a space is assigned.  If you want to request a particular space or area,
please
write your request with your application and we will try to accommodate you.  Phone messages can become lost, however, we
work with your contract for space assignments, so write your requests on the contract.  We do not give your space assignments in
advance, so please do not call requesting to know where your space is.
How do I know that my application has been received by the Chamber?
We will send you a confirmation letter within 2 weeks of receiving your contract/application.  If you provided us an email, we will send your
confirmation via email from SuffernStFair@yahoo.com.  If you do not have an email, you will receive your confirmation by US Mail.  If
your contract/application is incomplete, you will be advised of what will be needed to complete your application.  
How do I find out where my space is?
You will receive your space assignment at the check-in table the morning of the street fair.  The check-in table is in front of the Suffern
Post Office on Chestnut Street.  Check in time is between 7am and 9:30am.  This information is on the Street Fair Contract/Application.
Spaces not checked-in by 9:30am are forfeited with no refund.

How are spaces assigned?
Spaces are assigned in advance using a number of different factors.  Businesses in town have the option of having the space in front of
their place of business.  Returning vendors and those vendors registering for all 3 street fairs will have priority.  Other factors, including
products sold, space available and other vendors selling similar products will all be considered.  We make every effort to keep returning
vendors in spaces that they are happy with in the past and to have everyone satisfied with their space assignment.  Those submitting
contracts early will also have priority.  We cannot promise what your space will be in advance because changes are made right up until
the day of the street fair.
What is the deadline to apply for a space?
There is no deadline for applying for a vendor space.  The day of the street fair at the registration table on Chestnut Street, available
spaces will be assigned on a first come, first serve basis.  Keep in mind, vendor discounts are only available until April 30th.  Also, prime
vendor spaces will be assigned to those who register early, returning vendors and those registering for multiple street fairs.
What do I have to do to become a food vendor?
Submit your completed contract/vendor application with fee to Suffern Chamber of Commerce.  It is the sole responsibility of Food
Vendors to obtain the proper permit from the Rockland County Dept. of Health (845) 364-2600 or (845)364-2606.  Failure to obtain the
permit will result in removal from the fair, without refund.   Certificates of Insurance for Food Vendors and rides must be attached to the
application and must evidence Comprehensive General Liability with limits not less than $1,000,000 per occurrence/$2,000,000
aggregate, and statutory Workers’ Compensation Insurance.  The Certificate must name the Suffern Chamber of Commerce as
“Additional Insured.”
What if I don't have a NYS Tax Certificate?
All retail vendors MUST have a NYS Tax Certificate.  It is the sole responsibility of all vendors to collect and pay NYS Sales Tax and
each must have a current NYS Sales Tax Number and certificate attached to their application.  Contact NYS Dept. of Taxation and
Finance at 1-800-225-5928 for a DTF No. 17 if required.   You can apply online for a NYS Tax Certificate and submit your OPAL number

If I am not selling a product, can I register as a non-profit?
Those registering for a non-profit agency need to submit proof of their non-profit status.  This means your agency must be a legal
non-profit agency and you must provide us with documentation of that status.  If you are a business that wants to promote your services,
but not sell products, you must have a "retail" space.
We are a non-profit with not a lot of funds - can we get a space for free?
We are also a non-profit and this is our fund-raising event.  We have offered the non-profits the very low price of $25./space - however,
we cannot afford to offer spaces for free.
If I need to have my check issued from the Corporate Office, what should I do?
Complete your contract/appication and mail it to us with a note that your check will be coming separately from your Corporate Office.
This way, we will have your application on file awaiting payment.
Can I pay by credit card?
We do not accept credit cards for payment.  We accept checks, money orders, certified checks or cash.  Please do not send cash by
mail.  For those registering the day of the street fair, cash only will be accepted as payment.
Someone gave me a discount in the past - who can I speak with to get this discount again?
There are discounts available for early registration or for Suffern Chamber members.  Please see the application/contract for
information regarding those discounts.  There will be no other discounts given.  Please don't ask.
Can I deliver my contract in person rather than mail it?

Can I be the only vendor selling a particular product?
In the interest of free trade and variety, we do not have exclusivity for vendors (with the exception of within certain franchises)
We will make every attempt to space vendors so that you will not be competing with someone selling same merchandise.  This is why it is
very important for you to list all the products that you will be selling with your application.  We cannot strategically place vendors if we do
not know what they are selling.  If you do not list something on your contract, we reserve the right to restrict you from selling it the day of
the fair..
Is there a raindate?
The street fairs are held rain or shine.  There are no refunds.  If you choose to wait to register until you have a weather forecast,
know that your application/contract will not take precedence over applications/contracts received prior.
What do I need to bring/provide for my space?  Are tables/chairs available?
You need to bring your own table(s), chair(s), tent, equipment.  Tables should have tablecloths or covers.   Although it is up to the
discretion of the vendor, we strongly encourage tents for your space (often available at Walmart and home improvement stores).  Since
the sun can be brutal to vendors and product over the course of the day, as well as rain or inclement weather - the tent is an important
part of a vendor's equipment.  If you need to rent tables or chairs, you can do so from one of the local party supply companies
(i.e., Clarkstown Rentals).
Is there electric available?  If not, can I use a generator?
There is no electric available (unless a vendor has made an agreement with a store owner by their space in advance to use their
electric.  Wires must be securely covered on sidewalk to foot traffic.  Generators cannot be used unless vendor has Street Fair
permission in advance and only if generator is reasonably quiet.  Vendors with permission for generators will be placed so that other
vendors are not disturbed by the generator.
Can I keep my car/truck in my space?
Cars and trucks are only allowed on the street to load and unload product.  All vehicles must be off the road by 9:30am and cannot
come back onto the road before 5pm.  Any vendor that has a vehicle as part of their display, must register that in advance and have
special permission in advance from St. Fair Coordinator.  Your space assignment will be in a place that is conducive to having the
vehicle.
Where do I park my vehicle?
You can park your vehicle in the "B" lot which is across from the Suffern Post Office (where the check-in table is).
What is the difference between a retail vendor and a "theme vendor"
For 2010, we are offering in addition to the retail and food vendor spaces, special theme spaces that are available on Chestnut Street.
The themed spaces will be available at a reduced price for the following:  for May 16th Antique Dealers;  June 13th for Artists and
Craftspersons offering art, photography, handcrafts, etc.  No commercial or other retail items will be permitted to be sold in these spaces.
These spaces will be the same size as retail/food spaces  20'x10'.  
Where are the restrooms?
Restrooms (Port-o-potties) are available in 3 locations.  The central location is in the "B" Parking Lot across from the Post Office.  
There are also restrooms (port-o-potties) available at the end of the Lafayette Avenue in Parking Lot across from Ole Ole Restaurant
as well as in the driveway next to the Lafayette Theater.
I am a musician, how do I inquire how to become a performer?
We have numerous inquiries from musicians and performers each year.  If you would like to be considered, you can submit your
information, along with a sample of your work to us at:  Suffern Street Fairs, P.O. Box 591, Suffern, NY  10901.   Bands perform from
11:30 am to 4:30pm.  Since this is a great opportunity for bands to promote themselves, and we are a non-profit community
organization, there are little or no fees available to pay musicians for their performance.  Please note that vendors object when
there is loud music near them throughout the day - therefore, we only consider bands/performers who can keep their noise level to a
level that is well-tolerated by the nearby vendors.
What time can I take down my display?
The fair ends at 5pm and vendors can bring their vehicles on the street to load up between 5pm and 6pm.  ALL VENDORS MUST HAVE
THEIR BOOTHS BROKEN DOWN AND REMOVED BY 6PM!  NO EXCEPTIONS.  Our contract with the Village of Suffern requires that the
street cleaning begins promptly at 6pm.   Vendors are required to clean up their own trash/trashbags will be provided.
